Office Administrator


Key Responsibilities :


Administrative & Financial Management

  • Billing & Invoicing: Prepare and manage client invoices, track payments, and maintain accurate financial records.
  • Financial Oversight: Handle accounts payable/receivable, account reconciliation, expense tracking, and assist with payroll processing.
  • Office Organization: Maintain supplies, organize filing systems, and ensure a well-run workspace.
  • Client & Team Communication: Answer calls/emails, manage correspondence, and provide exceptional client support.
  • Administrative Support: Schedule meetings, distribute reports, and handle communications.


Operational & Client Support

  • Quote Processing: Manage client quotes, coordinate material deliveries, and update clients on project progress and timelines.
  • Client Relationship Management: Serve as the primary point of contact for clients.
  • Financial Oversight in Projects: Support budgeting, costing, and expense tracking.
  • CRM Data Management: Maintain and update client records, contracts, and charges in Autotask. Create and assign tickets, and generate reports.


Qualifications :


  • Proven experience in business operations, administration, or management.
  • Strong organizational and multitasking skills with a keen eye for detail.
  • Excellent verbal and written communication skills.
  • Comfortable with technology and familiar with invoicing and project management tools. 
  • Resourceful, proactive, and able to work both independently and as part of a team.
