About Us:
We are a leading archaeological consulting firm dedicated to locating, understanding, and preserving our shared heritage. We work with developers as well as federal, provincial, and Indigenous governments to ensure compliance with Cultural Resource Management (CRM) regulations in Ontario. We are seeking a highly organized and detail-oriented Office Administrator to join our team and support our operations.

Position Overview
The Executive Assistant will support our archaeological consulting operations by leading administrative, permitting, communications, and other business activities. The role involves filings with the Ministry of Citizenship and Multiculturalism and collaboration with various stakeholders, including First Nations and Métis communities. The position will also have opportunities to assist in fieldwork, field programme preparation, and post-excavation data management. The ideal candidate produces high quality communications without error, and works with a specialised office environment who is interested in fieldwork and Ontario's archaeological past.

Key Responsibilities:
Permitting Duties:

  • File and manage project Information Forms (PIFs) with the Ministry of Citizenship and Multiculturalism (MCM).
  • Submit archaeological reports and manage document submissions to the MCM.

Project Coordination:

  • Track milestones, deadline, and project progress from inception to completion.


Accounting Support:

  • Assist with bookkeeping tasks, invoicing, and financial records maintenance.


Communication & Collaboration:

  • Maintain professional communication with heritage organizations, First Nations, and Métis communities.
  • Coordinate fieldwork logistics with First Nations and Métis partners.


Fieldwork Assistance:

  • Opportunities to assist with archaeological fieldwork in local or regional contexts.


Qualifications & Skills:

  • Well-organized and efficient with exceptional attention to detail.
  • Proven ability to produce high-quality, accurate work with minimal revision.
  • Quick learner capable of applying newly acquired skills effectively.
  • Self-motivated and able to work both independently and within a team.
  • Strong written and verbal communication skills with a professional demeanor.
  • Adaptable to a dynamic, fast-paced work environment.
  • Demonstrated interest in Ontario's heritage and archaeology.


Technical Skills:

  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience with accounting software (e.g. QuickBooks) is an asset.
